Job Descriptions for Board of Trustees Members
ref: Bylaws Article 4
4.9 Compensation. The Board of Trustees shall serve without compensation, provided that their reasonable out of pocket expenses for the Association business may be reimbursed by the Association.
PRESIDENT
Preside at meetings of the Board of Trustees and at meetings of Members
Sign, on behalf of the Association, all legal documents approved by the Board, including deeds and mortgages and other contracts.
Participate as a member of the architectural committee
Supervise and be primarily responsible for the day-to-day operation of the Association affairs
Perform such other duties as assigned by the Board.
VICE PRESIDENT
The Vice President shall perform the duties of the president if he or she is not available and shall perform such other duties as designated by the Board.
Participate in board meetings
Participate as a member of the architectural committee
Oversee landscape maintenance
Set up and oversee contracts with maintenance contractors
Direct maintenance work
Turn on sprinkler system in Spring and winterize in the Fall
Oversee landscape improvement projects
Perform such other duties as assigned by the Board
SECRETARY
Participate in board meetings and record minutes
Attend homeowners meetings and record minutes
Keep accurate records of the Members of the Association and the transfer of their interest to others
Maintain copies of documents
Create and mail CC&R violations to owners as requested by Board of Trustees
Mail/email meeting notices/ prepare docs for website
Participate as a member of the architectural committee/ send/ collect information to send for Architectural committee approval.
Perform such other duties as assigned by the Board
TREASURER
Participate in board meetings
Attend homeowners meetings and present treasures report
Create and mail invoices for annual dues and special assessments
Follow up with any delinquent payment, phone call or email
Participate as member of Architectural committee
Pay all approved invoices
Create annual budget 60 days prior to beginning of fiscal year and mail/email to home owners
Prepare quarterly reports, balance sheet
Balance checkbook and make deposits
Complete annual tax return for IRS and Utah by March 15
Submit any applicable tax forms to IRS and State for Independent Contractors
Create budget vs. actual spending reports and distribute to Secretary and VP
Complete and file any required forms with State of Utah Department of Commerce.
